This Privacy Policy explains how Meland Labs Limited, the operator of Alloomi ("Meland Labs", "we", "us" or "our"), collects, uses, shares and protects information when you use the Alloomi desktop application, our websites, and related services (collectively, the "Services"). It also explains the choices and rights you have.

Alloomi is designed to be local-first and permission-based. Apart from the limited information we need to run your account and the Services, Alloomi does not access your connected accounts, your screen, your microphone or your device unless you choose to turn on the relevant feature, and you can turn each feature off at any time.

1. Who We Are and Scope of This Policy

Meland Labs Limited, a company incorporated in Hong Kong with its registered office at 19H Maxgrand Plaza, No. 3 Tai Yau Street, San Po Kong, Hong Kong, is responsible for the processing of personal information described in this Privacy Policy, except as described in Section 2.

This Privacy Policy does not apply to third-party services that you connect to or use alongside Alloomi, such as your email provider, messaging platforms or any AI service provider that you configure yourself. Your use of those services is governed by their own terms and privacy policies. In particular, if you choose to configure the Services to use your own AI provider account or API key, information you submit through that configuration is sent directly to that provider and is governed by that provider's terms.

2. Our Role

Individual users. When you use the Services on your own behalf, Alloomi is the controller of your personal information as described in this Privacy Policy.

Organization accounts.Where an organization (for example, a company subscribing to a Team plan) provides you with access to the Services, we process content and personal information submitted through that organization's account on behalf of the organization, as its service provider or processor, under our agreement with that organization. In that case, the organization's own privacy notice governs, and questions about that processing should be directed to the organization.

3. Information We Collect

3.1 Information Collected When You Use the Services

We collect the following limited information in order to provide your account and operate the Services:

  • Account information, such as your name, email address and login credentials or the identifier of the third-party account you use to sign in.
  • Subscription and payment information, such as your plan, billing history and billing details. Payments are processed by our payment processor, Stripe. We do not store your full payment card number.
  • Device and technical information, such as IP address, device type, operating system, application version, language and time zone settings, and error and performance logs needed to keep the Services working.
  • Strictly necessary cookies and local storage used to keep you signed in and to secure the Services.

3.2 Information Collected Only When You Turn On a Feature

Each feature described in this Section 3.2 is turned off by default. We collect the information described below only after you choose to connect an account or turn on the relevant feature, and we stop collecting it when you disconnect the account or turn the feature off. Section 9 explains how to do so.

(a) Connected Accounts. If you choose to connect a third-party account, such as Gmail, Google Calendar or a supported messaging platform, we access information from that account to the extent permitted by the authorization you grant. This may include the content and metadata of emails, messages and calendar events, attachments, and the names and contact details of the people you communicate with. Authorization for connected accounts is managed through our integration and authorization service provider, Composio, which handles the authorization credentials required to connect your accounts.

(b) Screen Memory. If you turn on Screen Memory, the Services capture screenshots of your screen at the interval you configure and extract text and short descriptions from them, so that you can later search and recall what you have worked on. Screenshot image files are automatically deleted from your device within six (6) hours of capture. The extracted text and descriptions are stored on your device until you delete them. You can pause or turn off Screen Memory at any time. Because Screen Memory may capture anything displayed on your screen, we recommend that you pause it when viewing information that you do not wish to be captured.

(c) Meeting Recording and Transcription. If you turn on meeting recording, the Services record audio from meetings on your device and generate transcripts and summaries. You are responsible for informing meeting participants and obtaining any consent required by applicable law before recording.

(d) Voice Input. If you use voice input, the Services capture your voice recording in order to convert it into text.

(e) Automations and Agent Actions. If you set up scheduled tasks, turn on automations such as automatic reply drafting, or instruct the Services to take actions on your behalf, we process the information needed to carry out those tasks. Depending on what you authorize, this may include reading and writing files on your device, running commands, operating applications, browsing websites, and preparing or sending messages through your connected accounts. A record of certain actions taken on your device is kept in a local audit log that you can review.

(f) Web Search. If you use features that search the web, the search queries generated for your request are sent to our search service provider.

3.3 Information You Choose to Provide to Us

  • Support and feedback. Information you provide when you contact us, report a problem or give feedback.
  • Diagnostic reports. If you choose to export and send us a diagnostic report, we receive the information it contains. Please review a report before sending it to us.

3.4 Information About Other People
